Every school tenant runs with tenant-isolated database partitions, AES-256 encryption, and role-based access control.
1. Types of Information Handled
HaHu School processes institutional records entered directly by school administrators, teachers, and registrars:
- Student Profiles: Full name, national identification number, date of birth, grade, section, and guardian contact details.
- Academic Records: Attendance logs, assessment marks, national exam diagnostic scores, report cards, and behavioral notes.
- Financial Metadata: Tuition invoice statuses, payment receipts, Telebirr/CBE transaction reference IDs (no bank secrets).
- Staff Profiles: Teacher name, subject assignments, timetables, and system audit logs.
2. Strict Purpose Limitation
Information collected is utilized solely to deliver core educational workflows: notifying parents of student absences via automated SMS in regional languages (Amharic, Afaan Oromo, Somali, English), generating Ministry of Education EMIS reports, computing report cards, and reconciling tuition fees.
3. Multilingual Parent SMS Gateway Privacy
Telephone numbers provided for guardian communications are strictly used to transmit transactional school alerts (daily roll call absence notices, fee receipts, school closing emergency alerts). Numbers are never used for unsolicited promotional marketing.
4. Data Retention & Deletion
Upon termination of an institution's subscription, schools have a 60-day window to export complete data archives. Following this window, all student records, database snapshots, and tenant partitions are permanently purged from active servers and backups in compliance with ISO 27001 data destruction protocols.
